How to choose a POS for your coffee shop

The POS you pick shapes every day you run your shop. It decides how fast your line moves, how easily your team learns the job, and how much of your money you keep after every card tap. Most owners only switch systems every few years, so it is worth getting this decision right.

Here are the seven things that actually matter when you compare systems, and the questions to ask before you sign anything.

1. Modifiers have to be fast

A coffee shop order is almost never just an item. It is a size, a milk, a shot count, a syrup, and a temperature. If ringing that up takes six screens, your line slows down at the worst possible time of day.

Ask for a demo with a real order from your menu: a large oat latte with an extra shot, half sweet. Count the taps. If it takes more than a few, keep looking.

2. Orders should route themselves

Espresso drinks go to the bar. Blended drinks go to the blender station. Food goes to the kitchen. A good POS sends each item to the right station automatically, so nobody is reading tickets out loud across the shop.

3. Online ordering should not cost you a commission

Marketplace apps charge 15 to 30 percent on every order. That is often the whole margin on a drink. Look for a POS that comes with your own ordering website, where pickup and delivery orders land on the same screen as walk-ins and you keep the full amount.

4. Ask what happens when the phone rings

During a rush, nobody behind the bar can pick up the phone, so those orders simply never happen. Newer systems answer the phone with AI: they handle questions about hours and the menu, take full orders, and send them straight to the register. If a system cannot do this, ask what they expect you to do about missed calls.

5. Loyalty should work everywhere

Your regulars are most of your revenue. Points should earn at the register, on your website, and in your app, without a punch card to lose or a second app for your staff to learn. Ask whether loyalty is built in or a separate product with a separate fee.

6. Read the whole price, not just the monthly fee

The advertised price is rarely the whole price. Add up the monthly software fee, per-feature add-ons, per-employee charges, and the card processing rate. Processing is usually the biggest number of all, so ask for the effective rate in writing and compare it to what you pay today.

7. Setup and support are part of the product

A great system with no onboarding help still means weeks of pain. Ask who builds your menu, who trains your staff, and who answers when something breaks on a Saturday morning. Get specifics, not promises.
